document management vs agenda management

document management vs agenda managementDocument Management vs Agenda Management? …or are they the same? Back in the 1990’s, when the first systems targeted at managing agendas and public meeting processes were made, most systems were spawned from document management systems. Why is this? Most people responsible for the public meeting agendas were also responsible for records management in the organization. Plus, many of these document management systems were already being leveraged to publish the agendas and packets to the web. When these agenda managers began to explain their end to end process to some smart developers, agenda management systems sitting on top of document management systems were born.

While these systems served their purpose, a new age quickly followed. As with most technology, more specialized solutions surfaced that focused strictly on agenda management. In most cases, they were a far better fit to address your agenda process. However, the cost of having two systems was far more than simply adding an agenda management module on top of your document management system. Thus, only very large organizations were able to afford having a separate system to manage their agenda process.

Over the past 5 or 6 years, the Software as a Service (SaaS) wave hit the agenda management world. Not only did the functionality of these systems and their ease of use increase, but the cost of these systems dramatically decreased. In fact, with an agenda management system like AgendaPal, costs can come in as little as $199 per month or lower. This is a far change from the thousands of dollars it would have cost you in the past.

So which to choose when comparing document management vs agenda management? The answer may differ from organizaiton to organization. But in today’s technology world, an organization can get a best of breed agenda management system and a best of breed document management system at a cost far less than what was available as little as 5 years ago. They key is to make sure that you choose the system or systems that best meet your needs and budget.
